ART COORDINATOR

General Job Description

To perform daily data entry and updates of all job data into the central job tracking database to ensure maximum visibility of workflow and to facilitate proper job prioritization and management. This to include sales orders from both container decorating and promotional products, as well as screen requests, purchase orders,  art reqs, and virtual bottle and tool proofs.

Primary Duties and Responsibilities:

  • Organize and prioritize sales orders for data entry into the art database, as well as purchase orders, screen pull requests, art reqs, and virtual orders for tools and bottles.

  • Read and review order details to ensure the information is accurate and complete in order to set the artist up successfully for the job.

  • Communicate with sales reps to clarify when orders lack detail or have inaccurate information, resolve issues or concerns. 

  • Confirm that all sales orders that call for new art have the files moved to correct folders, check to ensure art files are in the correct format and that provided references are accurate. 

  • Enter jobs and assign orders to artists’ schedules working independently and with manager to ensure balanced workload.

  • Print and distribute artists’ schedules each morning.

  • Enter all orders that are being completed by AWS into the Google tracker and place reference files for them (if needed). Track orders as they move through the pipeline and review for accuracy as they are returned.

  • Enter and upload any files that call for digitizing into the IDEA portal. Record details on the internal production spreadsheet. 

  • Review completed proofs against sales orders after proofs are completed by artist to ensure accuracy prior to forwarding to clients.

  • Communicate with customers when proofs are sent and/or received for either revisions or approvals. Ensure that customer is kept up to date on status of their order.  

  • Use the art database reporting feature to send approval reminders to customers who have received their proof but have yet to send approval or revisions.

  • Works with the Art Director to categorize, prioritize, and assign new art jobs flowing into the Graphic Design department

  • Communicates with customers on a daily basis about their orders and obtains artwork proof approvals

  • Communicates with the Sales Department about art-related sales order concerns

  • Communicates with the Graphic Designers on deadlines and job status

  • Performs other department tasks as requested by the Art Department Manager

Qualifications for the Job:

  • Education:

    • Bachelor’s Degree (4-year) degree, in Graphic Design

  • Core Competencies

    • Must be proficient in a PC environment as well as a familiarity of Adobe Illustrator and Photoshop CS6 is preferred

  • Ability to work in a fast-paced environment under tight deadlines

  • Ability to recognize obstacles to meet deadlines and work to resolve them

  • Excellent computer skills – email, web, data entry, word processing, excel

$18-$21 per hour Monday – Friday 8 am – 5 pm
